Using the Canon Printers

We have several Canon imageRUNNER ADVANCE C5030i and imageRUNNER C1028i multifunction photocopiers. These are networked and can be used as printers. Currently we have five in the following locations:

Department ID/PIN

These printers can be used as any of our other ones, with the exception that their printing is controlled through an ID and PIN system. In Windows, when you print to them, a small window will appear asking you to enter such information:

The Department ID is the barcode number in your University Card:

And the PIN should be left blank:

Once you click on OK, the job should be sent to the printer.

If you do not want to have to type the Department ID every time you print, you can set a default option in the printer Properties window:

  • Start > Devices and Printers
  • On the Control Panel\Hardware and Sound\Devices and Printers window, right-click on the Canon printer in question (this will not work for the non-Canon printers) and select Printer properties
  • On the printer Properties window, click on the Device Settings tab
  • On the Device Settings tab, click on the Settings... button (NOT the Settings(W)... one)
  • On the Department ID/PIN Settings window, type in your Department ID and click OK
  • On the printer Properties window, click OK
  • Close the Control Panel\Hardware and Sound\Devices and Printers window

Now, whenever you send a document to that printer, the Department ID will be pre-entered for you (I am afraid you still have to click on OK to send the print job).

Printing Preferences

The simplest way to change the user defaults in the Canon printers is to create your own profile with the settings you want:

  • Start > Devices and Printers
  • On the Control Panel\Hardware and Sound\Devices and Printers window, right-click on the Canon printer in question (this will not work for the non-Canon printers) and select Printing preferences
  • On the Printing Preferences window, change the settings you want, for example Print Style to "2-sided Printing" on the Finishing tab, Color Mode to "Black and White" on the Color tab, etc
  • Once everything is as you want it, click on Add(1)... at the top
  • On the Add Profile window, type in a name, say "B&W 2-sided" or "My Defaults", select an icon, and type in a Comment if you want
  • On the Add Profile window, click on OK
  • On the Printing Preferences window, you should now have a new option in the list of profiles (it will not have a red dot with it as it is user created); click on Apply
  • Make sure your new profile is selected in the Profile list, and click on OK

The system should remember you selected those defaults from session to session and from machine to machine.
