Outlook lets us create an email template so that we can send multiple similar emails more effectively. Before we begin to create a template we must first make sure that we are not using Word as our email editor. To turn it off simply:
In Outlook go to Tools -> Options... and click on the Mail Format tab
Uncheck the box that says "Use Microsoft Office Word 2003 to edit e-mail messages."
Now, create a new mail message containing the content that you frequently send. Leave blank areas where you will add in customisations later.
Once you are happy with your message go to File -> Save As...
A new window will open prompting for a location to save the message. At the bottom of the window change the file type to Outlook Template (as shown below) and click Save.
Now close your message. If you are prompted to save it click No.
We can now restore Word as our Email editor by following the instructions above but this time CHECKING the box labelled "Use Microsoft Office Word 2003 to edit e-mail messages."
To use our new template simply go to Tools -> Forms -> Choose Form...
When the new window opens select 'User Templates in the File System" and the templates you have created will be available. Double-click on the template you wish to use to begin creating your message.
